Registration & OPD
Patient registration with UHID, appointment booking, consultant queues, vitals capture and electronic prescriptions.
One platform for OPD, IPD, emergency, operation theatre, wards, pharmacy, stores and billing — so your staff stop re-entering the same patient details into five different registers.
Most hospitals in India run on a patchwork — a billing package bought years ago, a separate pharmacy program, an Excel sheet for bed allotment, and paper case files moving between departments by hand. Every handover is a chance for something to be mistyped, lost or duplicated, and nobody can answer a simple question like "how many beds are free right now" without walking the wards.
Care Matrix HMS replaces that patchwork with a single record per patient that every department writes to. A patient registered at the front desk is immediately visible to the doctor, the lab, the pharmacy and the billing counter. Discharge summaries pull from what was actually recorded rather than being retyped, and the final bill assembles itself from services already delivered.
The system is built around how Indian hospitals actually work — cash and credit patients side by side, TPA and insurance panels, government scheme billing, multiple consultants sharing a bed pool, and staff of widely varying computer confidence. Screens are designed so a ward clerk can be productive on day one.

Admissions, bed and ward allotment, transfers, nursing notes, doctor rounds, and discharge summary generation.
Rapid registration for walk-in emergencies, triage recording, and conversion to admission without re-entering details.
OT scheduling, surgeon and anaesthetist allocation, consumable tracking and procedure notes linked to the patient record.
Central and sub-store stock, indents, purchase orders, goods receipt, expiry monitoring and consumption by department.
Charges accrue automatically as services are delivered; interim bills, advance adjustment, TPA claims and final settlement.
Dozens of consultants sharing wards, OTs and diagnostics, with department-wise accountability and revenue splits.
Cardiac, oncology, orthopaedic and similar units where procedure costing and consumable tracking drive margin.
20 to 100 beds, a lean administrative team, and a need for something that works without a dedicated IT department.
A straightforward deployment goes live in about 7 days. That covers installation, master data setup (departments, tariffs, consultants, bed types), migration of your existing patient and billing data where it is available in a readable format, and on-site staff training. Larger hospitals with many departments or complex tariff structures usually take two to three weeks.
Yes. Care Matrix HMS can be deployed on a server inside your hospital, in which case it runs entirely on your local network and internet is only needed for optional features like SMS or email. If you choose cloud deployment, the system continues to function during short outages and syncs when the connection returns.
Yes. You can maintain separate tariff structures per TPA, panel or government scheme, mark a patient's payer at admission, and have the correct rates apply automatically. The system tracks claim status and shows outstanding receivables by payer.
We migrate what can be migrated. Patient masters, outstanding balances, item and tariff lists and similar structured data can usually be imported from Excel, CSV or a database export. Scanned paper records cannot be converted automatically, but the system can store them against a patient once digitised.
We do, as part of implementation — on site, department by department, using your own data rather than a demo database. Refresher sessions for new joiners are included in ongoing support.
Every module works on its own and works better together — they share one patient record and one set of reports.
